Shifts
Shift schedule
Add shifts for your team one at a time or across several days, and post open shifts nobody is assigned to yet.
Overview
Use the shift schedule to plan who works when at each branch, instead of keeping the roster in a group chat. You can add one shift at a time, or set a shift once and repeat it across several days. You can also add an open shift, which is a slot nobody is assigned to yet. Go to Shifts → Schedule. Shifts sits in the sidebar between Team and Transactions.
Add the same shift across several days
Use this when a team member works the same hours on several days, for example Aina working 10:00 to 18:00 at your Bangsar branch every Monday, Wednesday and Friday.
- Select Add shifts, then Add multiple shifts.
- Set the shift once: the team member, the start and end times, and the branch.
- Choose every date the shift runs on.
- Turn on Skip dates that already have a shift if you do not want duplicates for that team member.
- Check how many shifts Bookit says it will create, then confirm.
Always use Add multiple shifts for overnight shifts, such as 22:00 to 02:00, even if it is only one night.
Add one shift
- Select Add shifts, then Add single shift.
- Pick the team member, the day, the start and end times, and the branch.
- Add a Label such as Morning, and Notes if you need them. Both are optional.
- Select create.
Post an open shift
An open shift is a slot on the roster that nobody is assigned to yet, for example an extra Saturday 10:00 to 18:00 cover at your Bangsar branch.
- Select Add shifts, then Add single shift or Add multiple shifts.
- Leave the team member empty.
- Fill in the day, times and branch, and save the shift.
Only someone who can manage the roster can assign an open shift later. Team members cannot claim it themselves.
Change or cancel a shift
- Open the shift from the schedule to edit it.
- To remove it, select Cancel shift.
A cancelled shift leaves the schedule, its history stays viewable, and it stops counting as a no-show. Cancel a shift before it is worked: if someone already clocked into it, their hours stay counted with nothing planned to compare against.
To copy a week you have already built or fill a week from a template, see Shift templates.
FAQs
Why is a team member missing from the schedule?
They are not assigned to this branch. Add them to the branch under Team first.
Why can't I see my other branch's shifts?
The schedule shows one branch at a time, and there is no combined view. Switch branches to see the other roster.
Why can't I drag a shift to another day on my phone?
On a phone the schedule is tap-only. Tap a shift to open and edit it. Dragging a shift to another day needs a computer.
Will my team be told about their shifts?
No. Bookit does not remind team members about upcoming shifts or follow up on missed ones.
Can team members swap shifts?
No. A team member cannot hand a shift to a colleague or claim an open shift. Someone who can manage the roster reassigns it.
How do I mark someone as on leave?
There is no leave record. Cancel their shift before it is worked.
I cancelled a shift by mistake. Can I get it back?
Yes. Open the cancelled shift and edit it. Saving puts it back on the schedule. There is no Restore button.
Who can see the whole roster?
Team members you have given All shifts to. Everyone else sees only their own shifts. Treat this as tidiness rather than privacy, and do not put anything in a Label or Notes you would mind another team member reading.
Can I stop customers booking someone who is off?
Partly. Setting your branch's slot mode to Shift-based slot stops customers booking a named team member outside their scheduled shift, and stops bookings for services restricted to particular team members. A customer who does not pick anyone can still book. That appointment arrives with nobody assigned and an Assign team member badge for you to resolve.
Does the schedule work out wages?
No. Shifts are in hours only. Bookit holds no pay rates.
