CRM
Import customers
Add many customers at once from a CSV or Excel file, or from the contacts saved on your phone.
Overview
Use import when you already have a customer list, in a spreadsheet or in your phone's contacts, and do not want to type each customer in by hand. You can upload a CSV or Excel file from any device, or pick contacts from your phone in the Bookit app. Both start from Customers → Overview → Import customers.
If you are moving from Fresha, Tunai, Ebteq or Aoikumo, use Migrate from another system instead. See Import data.
Upload customers from a CSV or Excel file
- Go to Customers → Overview and select Import customers under Quick actions.
- Choose Import from CSV file.
- Select Download example to get a file with the right columns, and fill it in with your customers.
- Upload your file. Bookit accepts .csv, .xlsx and .xls files.
- Wait while Bookit checks the file. It shows how many rows are valid, and lists any rows it will skip with the reason.
- Select Confirm import to add the valid rows.
- When it finishes, open the customer list to check the new customers.
You can also reach the upload from the customer list: select the … button, then Bulk upload.
Columns in the file
| Column | What to put in it |
|---|---|
| Name | Required. A row without a name is skipped. |
| Phone number and Email | Optional, but recommended so you can find and contact the customer. |
| Reference | Optional. Your own customer code, such as CUST-001. |
| Birthday | Optional. Must be in dd/mm/yyyy format, such as 21/03/1990. |
| Gender | Optional. One of male, female, nonBinary or preferNotToSay. |
| Balance | Optional. A number. A negative number, such as -100, is money the customer owes you. |
| Credit and Reward points | Optional. Numbers. |
| Tags | Optional. Separate several tags with commas, such as VIP, Regular. Tags you do not have yet are created for you. |
Import contacts from your phone
This option is only in the Bookit app on a phone or tablet.
- Go to Customers → Overview and select Import customers.
- Choose Import from contacts, and allow Bookit to read your contacts if your phone asks.
- Search for contacts or tap Select all, then tick the ones you want.
- Tap Import selected.
Bookit takes each contact's name, first phone number, first email address and birthday. A contact without a name is skipped. When the import finishes, Bookit tells you how many contacts were added.
FAQs
Will importing create duplicate customers?
It can. Each row in your file, and each contact you pick, becomes a new customer, even if that customer is already in Bookit. Import each list once, and if you end up with the same person twice, combine the records. See Merge duplicate customers.
Why were some rows skipped?
Bookit lists each skipped row with its reason before you confirm. The usual causes are a missing name, a birthday not in dd/mm/yyyy format, or a gender or balance value Bookit does not recognise. Fix those rows and upload them again.
Why can't I see Import customers?
You need permission to edit customers. Ask the business owner or an admin to change your role.
Why is Import from contacts missing?
It only appears in the Bookit app on a phone or tablet. On a computer, use Import from CSV file.
If I upload the same file again, will it update my customers?
No. Import only adds new customers. It does not update existing ones, so uploading the same file again adds everyone a second time.
