Expense reports

Analyse your business spending over any date range, by category and trend, to review your budget or prepare for tax season.

Overview

Expense reports show what your business spent over any date range you choose, with totals, trends and a breakdown by category. Use them to review your budget, spot where money is going, or pull figures together for tax season. You'll find them under Expenses → Expense reports.

Run a report for a date range

  1. Go to Expenses → Expense reports.
  2. Choose your start and end dates in the date picker at the top of the screen, for example 1 March 2025 to 31 March 2025.
  3. Tap Refresh to build the report for those dates.
  4. Check the summary cards: total expenses, number of expenses, average per expense and daily spend.
  5. Scroll down to the charts to see your spending trend and category breakdown.

If you choose a range longer than 2 months, a banner tells you that the charts are grouped by month instead of by day.

The category breakdown uses the expense categories you have set up. To create or change them, see Expense categories.

Add more charts to your report

  1. On Expense reports, tap Add widget.
  2. Pick the chart or list you want to add.
  3. Find the new widget on your report and review it for the selected date range.

Widgets you can add:

  • Expense trend chart
  • Category pie chart
  • Cumulative spend
  • Daily spending patterns
  • Recurring vs one-time expenses
  • Top categories
  • Recent expenses list

Check the expenses behind the numbers

  1. In the Recent expenses widget, tap the option to view all expenses.
  2. Review the full expense list, already filtered to the date range of your report.

To edit a single expense or change its category, open it from the expense list. To record new spending, see Expenses.

How it's calculated

The report adds up every expense recorded in the date range you picked.

  • Total expenses: the sum of all expenses in the range.
  • Number of expenses: how many entries fall in the range.
  • Average per expense: the total divided by the number of expenses.
  • Percentage change: each summary card compares your range with the previous period of the same length.

Example: you run a report for 1 March 2025 to 31 March 2025 (31 days). You recorded 31 expenses totalling RM 4,650, so the average per expense is RM 4,650 ÷ 31 = RM 150. The percentage changes compare March with the 31 days before it, 29 January to 28 February 2025.

FAQs

Why does my report show months instead of days?

Your date range is longer than 2 months. Bookit groups the data by month so the charts stay readable and load faster. Pick a range of 2 months or less, such as 1–31 March 2025, to see daily figures.

Why is my report taking so long to load?

Large date ranges are processed in the background. Wait for the progress banner to reach 100%, or choose a shorter range.

Why can't I tap Add widget?

Every available widget is already on your report. The button becomes active again if you remove one.

Can I compare this month with last month?

Yes. The summary cards show the percentage change against the previous period of the same length. For 1–31 March 2025, that is 29 January to 28 February 2025.

Why don't I see a category breakdown?

The breakdown only uses categories you have set up. Create them first under Manage categories on the Expenses screen.

I changed the dates but the figures didn't update. Why?

Tap Refresh after choosing new dates. The report only rebuilds when you refresh it.
