Shifts
Shift report
Compare planned and worked hours for any date range, spot late check-ins and no-shows, and download hours for payroll.
Overview
Use the shift report when you need a team's hours for a period: to check them, settle a disagreement, or hand them to whoever does your payroll. It compares planned hours with worked hours. It also shows coverage, late check-ins, no-shows and a per team member breakdown that you can download as a CSV. Go to reports, then select Shifts in the sidebar. On the reports page itself, the card is called Shift report.
Check hours for a period
- Go to reports.
- Select Shifts in the sidebar, or open the Shift report card.
- Set the Period to the date range you want, for example last month.
- Leave the team member filter on All team members, or pick one person.
The report covers one branch at a time. To see another branch, switch branches and run the report again.
Make sure the totals are right
The Needs attention section groups three figures: open clock-ins, Unlinked clock-ins and No-shows. Each one means a number on this page may not be accurate yet. Check them before you pass the hours on.
- Look at Needs attention and note anyone with an open clock-in. This means they clocked in but never clocked out.
- Go to Shifts, then Time log.
- Find the entry and correct the clock-in or clock-out time, or delete the entry.
- Go back to the report and run it again.
Unlinked clock-ins are real hours, but no scheduled shift sits behind them. They are recorded, but they are left out of the planned-against-worked comparison. If you see a lot of them, either the roster is not being filled in or people are clocking in on days they were not scheduled.
What each figure means
| Figure | What it counts |
|---|---|
| Planned hours | Total scheduled hours in the period |
| Worked hours | Total hours actually clocked in the period |
| Overtime | Hours worked beyond scheduled shifts |
| Coverage | Attended shifts as a share of scheduled shifts |
| Late check-ins | Shifts where someone clocked in later than your lateness grace allows |
| No-shows | Scheduled shifts with no attendance at all |
| Open clock-ins | Entries where someone clocked in and never clocked out |
| Unlinked clock-ins | Hours clocked with no scheduled shift behind them |
Late check-ins depend on your Lateness grace, which you set under settings → your branch → Shift settings. If you change it, the late figure changes too, including for shifts already worked.
Download hours for payroll
- Open the menu in the top corner of the report.
- Choose Download CSV.
The report shows hours only. Bookit does not store pay rates, so nothing here is a wage figure. Take the hours to wherever you calculate pay.
Rearrange the report
Open the menu in the top corner, then choose an option:
- Edit layout to move cards around.
- Add widget to bring back a card you removed.
- Reset layout to go back to the default layout.
Your layout only changes what you see. It does not change what anyone else sees.
Control who can see the report
Access to the shift report comes from the All reporting permission, not from Shifts permissions.
- Anyone with All reporting sees the whole team's hours here. This applies even if you limited them to their own shifts on the Shifts pages.
- Anyone who can only see their own reporting does not get this report at all.
If you do not want a team member to see everyone's hours, remove All reporting from their permissions under Team.
FAQs
Why don't the hours here match the Shifts overview?
The Shifts overview shows the current month for your branch. The report shows whatever Period you chose. Make sure the dates match before you compare.
Someone's hours look wrong. How do I fix them?
Go to Shifts, then Time log. Find their entry and check the clock-in and clock-out times. You can edit or delete the entry there, then run the report again.
Can I see all my branches added together?
No. The report covers one branch at a time. Switch branches and run it again for each one.
Can I export the report as a PDF?
Not yet. Choose Download CSV and print it from your spreadsheet app.
Can a team member see their own hours in a report?
Not in this report. It needs All reporting, which shows everyone's hours. Team members can see their own hours on the Shifts overview.
Why did the late check-ins figure change for last month?
The Lateness grace setting was probably changed. The late figure is recalculated with the current setting, including for shifts already worked.
