Shift templates
Save a normal week of shifts as a template and fill any dates on the schedule from it in one go.
Overview
Use shift templates when your roster looks the same most weeks. You save a normal week once, then fill a week, a month or any date range from it instead of adding every shift again. Templates belong to a branch and live under Shifts → Templates. You apply them from Shifts → Schedule.
Save a week you have already built
The quickest way to make a template is from a week that is already on the schedule.
- Go to Shifts → Schedule and open a week that looks like a normal week.
- Open More actions and choose Save week as template.
- Under Save as, keep New template and enter a Template name, such as Normal week. To replace an existing template with this week instead, choose it under Save as.
- Check how many shifts Bookit says it will save, then select Save.
Each shift keeps its day of the week, start and end times, label, colour and team member. Open shifts stay open. Cancelled shifts are left out.
Build a template from scratch
- Go to Shifts → Templates and select New template.
- Enter a Template name.
- On each day, add a shift: choose the Team member (or leave it unassigned for an open shift), the Start time and End time, and optionally a Label, colour and Notes.
- Select Save.
Fill dates from a template
- Go to Shifts → Schedule and select Add shifts, then Apply shift template.
- Choose the Templates tab.
- Under Date range, pick the dates to fill. It starts on the week you are looking at.
- Under Template, choose the template, then select Apply.
Bookit tells you how many shifts it added and jumps to the dates it filled. Existing shifts are kept: if a team member already has a shift starting at the same time on that day, Bookit skips that one instead of adding it twice. So you can apply the same template again safely.
Fill dates from each team member's usual hours
If you have set a Default shift schedule for a team member under Team, you can fill dates from that instead of a template.
- Select Add shifts, then Apply shift template.
- Choose the Default shift schedules tab.
- Pick the Date range and either one Team member or All team members. Team members with no default shift schedule cannot be chosen.
- Select Generate.
Change or delete a template
Go to Shifts → Templates and open the template. Select Edit to change its shifts, or Delete template to remove it. Changing or deleting a template does not change shifts you have already applied from it. To update a template from the schedule, apply it, adjust the week, then use Save week as template and choose the same template.
FAQs
Why can't I see Apply shift template or Save week as template?
Only someone who can manage every shift at the branch sees them. Ask the business owner or an admin to change your shift access.
Can I use one template at all my branches?
No. A template belongs to the branch you made it in. Switch branch and build or save a template there.
Does applying a template replace the shifts I already have?
No. It only adds shifts. Nothing already on the schedule is changed or removed.
I applied the wrong template. How do I undo it?
There is no undo. Cancel the shifts you do not want from the schedule.
