Branch access
Decide which branches each team member can see and work in, and whether they are an admin or a team member at each one.
Overview
If your business has more than one branch, branch access decides which branches each team member can open in Bookit and how much they can do there. It is set per team member, in two places: Organisation access level, which covers every branch, and the Branch access table, which adds one branch at a time with its own Branch access level. A team member only ever sees data for the branch they are currently working in, and only if they have access to it.
| Setting | Who it suits | Branches they see | What they can do |
|---|---|---|---|
| Organisation access level set to Admin | Owners and managers of the whole business | Every branch, including branches you add later | Everything, in every branch |
| Branch access level set to Admin for a branch | A branch manager | Only the branches in their Branch access table | Everything in that branch, including its settings |
| Branch access level set to Team member for a branch | Front desk, therapists, stylists | Only the branches in their Branch access table | What their permissions allow, in that branch |
| No row for a branch | Not that branch | Nothing in that branch |
Give a team member access to a branch
- Go to Team and select the team member.
- In the Branch access section, add a row for the branch, for example Klang Branch.
- Choose their Branch access level: Admin or Team member.
- If they serve customers at that branch, turn on Is serving team member.
- Click Save in the Branch access section.
To take access away, remove the branch's row from their Branch access table. They stop seeing that branch the next time their session loads.
Let someone see every branch
- Go to Team and select the team member.
- In Organisation access, set Organisation access level to Admin.
- Click Save.
An organisation admin sees every branch, so you don't need to add each one to their Branch access table.
Switch between branches
- Click the branch name in the app header.
- In Select branch, choose the branch you want to work in.
The list shows only the branches you have access to. Appointments, payments, customers served and reports then show figures for the branch you picked.
Bookit remembers the last branch each person used on that device. When someone else signs in on the same tablet, they don't inherit your branch; they get their own last branch, or the first branch they have access to.
FAQs
Why can't a team member see a branch?
That branch has no row in their Branch access table, and their Organisation access level is not Admin. Add the branch to their Branch access table.
A team member has permission to view payments. Why can't they see payments at another branch?
Permissions only apply in branches the team member has access to. In a branch that is not in their Branch access table, they have no access at all, whatever their permissions say.
What is the difference between a branch admin and a team member at that branch?
A branch admin can do everything in that branch, including its settings. A team member can only do what their permissions allow; for example, team members with limited access see only their own appointments on the calendar.
Can a team member be an admin at one branch and a team member at another?
Yes. Each row in Branch access has its own Branch access level.
My business has only one branch. Do I need to set this up?
Each team member still needs the branch in their Branch access table, or an Organisation access level of Admin. Some screens, such as product stock, hide branch details when you have only one branch.
Why are the dashboard figures different from what my colleague sees?
You may be looking at different branches. Check the branch name in the app header.
