Reschedule and cancel
Move an appointment to a new date or time, cancel it, or remove it, and tell the customer about the change.
Overview
Use this page when a customer asks to move their appointment to another day or time, or when an appointment will not go ahead. You make these changes on the appointment itself: open any appointment from your calendar or appointments list to reach Appointment details. The changes you make are recorded in the appointment's history, so your team can see who changed what and when.
Reschedule an appointment
- Open your calendar or appointments list.
- Tap the appointment to open Appointment details.
- Change the date, the time or both.
- Tap Save.
- When asked, choose whether to notify the customer about the new time.
You can change other details in the same way, such as the service or the team member, before you tap Save.
Cancel an appointment
- Tap the appointment to open Appointment details.
- In the Status section, set the booking status to cancelled.
- Tap Save if the change is not applied straight away.
A cancelled appointment stays on record, but you can only edit some of its details. Cancelling is different from marking attendance: booking status says whether the appointment is going ahead, and attendance status records whether the customer actually turned up.
Delete an appointment
Delete an appointment only when it should not be on record at all, for example if it was created by mistake.
- Tap the appointment to open Appointment details.
- Tap Delete.
- Confirm that you want to delete it.
You only see Delete if your role allows you to delete appointments.
Check what changed on an appointment
- Open Appointment details for the appointment.
- Scroll to the Histories section.
- Tap Updates to see each change, when it was made and who made it.
Tap Communications to see messages sent to the customer, or All to see everything in one list.
FAQs
Why is the Save button greyed out?
Either nothing has changed yet, or your role does not allow you to edit appointments. Make your change first; if Save is still unavailable, ask the business owner to check your permissions.
Why can't I edit some appointments?
You need permission to edit bookings, and the appointment must be in a state that can be edited. Cancelled appointments have limited editing options.
Why can't I see the Delete button?
Delete only appears if your role has permission to delete appointments.
A booking is waiting for approval. How do I decline it?
For pending bookings that use a custom payment method, the Status section shows Confirm and Reject. Tap Reject to decline the booking, or Confirm to accept it.
Does the customer get told when I reschedule?
When you save a new date or time, Bookit asks whether to notify the customer. Choose to notify them if you want them to receive the update.
What is the difference between cancelling and marking a no-show?
Cancelling changes the booking status, meaning the appointment is not going ahead. Attendance status is for appointments that did go ahead on the calendar, and records whether the customer showed up.
Can I book the customer in again instead of moving the appointment?
