Vouchers

Create vouchers such as birthday or member discounts, give them to customers, and redeem them at checkout.

Overview

Vouchers let you give a customer a discount or credit they can use on a later visit, such as an RM30 birthday voucher or a member discount. You create vouchers in Catalogues → vouchers, give them to customers and redeem them at Checkout, and see who still has unused vouchers in Customers → Redeemables vouchers. Each voucher a customer receives is stored in their profile until it is used.

Redeem a voucher at checkout

Use this when a customer wants to use a voucher they already have, for example Mei Ling using her RM30 Birthday Voucher.

  1. Go to Checkout and select the customer.
  2. Add the service or product to the cart.
  3. Click the customer's name to open their profile.
  4. In the voucher section, tap Redeem on the voucher you want to use, for example "RM30 Birthday Voucher".
  5. Click Continue. The RM 30 discount is applied to the bill automatically.
  6. Take payment for the balance using the customer's preferred payment method.

Give a customer a voucher

To put a voucher into a customer's profile, you issue it through checkout at no charge.

  1. Go to Checkout and select the customer, for example Mei Ling.
  2. In the Menu tab, switch to the vouchers tab.
  3. Select the voucher card, for example "RM30 Birthday Voucher".
  4. Click Continue.
  5. Complete the payment of RM 0.00. The voucher is added to the customer's profile, ready to redeem on a future visit.

Create a voucher

  1. Go to Catalogues → vouchers.
  2. Click Create voucher in the top-right corner.
  3. Enter a Name customers and your team will recognise, for example "RM30 Birthday Voucher".
  4. Optionally add a Description and a Reference code.
  5. Under Whole bill discount, choose Amount and enter the discount value, for example RM 30.
  6. Set the status to control when the voucher is available.
  7. Optionally choose a colour and add Tags so you can tell vouchers apart and filter them later.
  8. Click Save.

When you later edit a voucher's details, your changes save automatically and you see a "Voucher saved" confirmation.

Check which vouchers customers still have

Go to Customers → Redeemables vouchers to see every voucher customers have received and whether they can still use it.

  • Each row shows the customer's name and phone number, the voucher name and its status: active for vouchers that can still be used, redeemed for fully used ones.
  • Total items count and Remaining items count show how many uses the voucher had and how many are left.
  • Expires at shows the expiry date, or No expiry if the voucher does not expire.
  • Click a customer's name to open their full profile.
  • Click a voucher name to see its redemption history.
  • Use the search box to search across customer names and voucher details, or click Show filters to narrow the list by customer, voucher, status or Expiry date.

To export, open the three-dot menu and choose Download all, or tick the vouchers you want and choose Download selected.

Manage your voucher catalogue

In Catalogues → vouchers you can:

  • Find a voucher: use the search box, or click Show filters to filter by reference, name, description, status or tags.
  • Copy a voucher: select one voucher and choose Duplicate from the actions menu. The copy has the same settings.
  • Export: choose Download selected for the vouchers you have ticked, or Download all for the whole catalogue.
  • Delete: deleting a voucher removes it permanently. You are asked to confirm first.

How it's calculated

A voucher with Whole bill discount set to Amount takes a fixed amount off the whole bill when it is redeemed.

Example: you create "RM30 Birthday Voucher" with an amount of RM 30.

  • Issuing it to Mei Ling at checkout costs her RM 0.00.
  • On her next visit, her bill comes to RM 100. When you redeem the voucher, RM 30 is taken off, so she pays RM 70.
  • After she uses it, the voucher shows as redeemed in Redeemables vouchers.

FAQs

Can I make a percentage voucher instead of a fixed amount?

Yes. Vouchers can be a fixed amount or a percentage, so you can set up different voucher types for different campaigns.

Why don't I see any vouchers in Redeemables vouchers?

The list only shows vouchers customers have received. Vouchers appear there after a customer buys one at checkout or you assign one to them.

Why can't I see the voucher when I open the customer's profile at checkout?

The voucher has not been issued to that customer yet. Issue it first by selecting it in the vouchers tab at Checkout and completing a payment of RM 0.00.

What does fully redeemed mean?

All uses of the voucher have been used and its Remaining items count is zero. You can filter for these vouchers with Show filters.

How do I find vouchers that have expired?

In Customers → Redeemables vouchers, click Show filters and use Expiry date to find vouchers that expired before a date you choose.

What happens if I delete a customer's voucher?

It is permanently removed from the customer's account and can no longer be redeemed. You are asked to confirm how many vouchers you are deleting, and this cannot be undone.

Does deleting a voucher from the catalogue undo it?

No. Deleting a voucher from Catalogues → vouchers is permanent. If you only want to stop offering it, change its status instead.
