Appointments
Classes
Sell places in group sessions: set up a class once, put it on the calendar with a recurring class, add attendees to each class session and take payment at checkout.
Overview
Use classes for anything you sell by the place rather than by the hour, such as a yoga session, a dance lesson or a pottery night. Classes sit on the same calendar as your appointments, and the money goes into the same reports. Three things make them work: the class (what you sell), the recurring class (when and where it runs) and the class session (one dated occurrence, with its own attendee list).
| Term | What it is | Example | Where you manage it |
|---|---|---|---|
| Class | What you sell: name, price, duration and places. It has no dates. | Vinyasa Flow, RM 35, 60 minutes, 12 places | Catalogues → Classes |
| Recurring class | A timetable for a class: branch, days, start time and team members. One class can have several. | Studio A, Monday and Wednesday at 7:00 pm, run by Ali | Classes → Recurring classes |
| Class session | One dated occurrence of a class, with its attendees. | Wednesday 7:00 pm, 9 of 12 places taken | Classes, or on the calendar |
Create a class
- Go to Catalogues → Classes and click Create class.
- Under Basics, enter the Class name your customers would recognise, for example Vinyasa Flow.
- Set the Duration of one session and the Capacity, the most people who can book each session. A recurring class can override the capacity later.
- Optional: add a Short description, a Level such as Beginner, What to bring and class images.
- Under Pricing, set the price. It works like a service: one fixed price, or several priced options. Leave it at zero for a free class.
- Under Policy, check the Cancellation cutoff (minutes before start) and whether the Team member cannot take bookings during this class. Leave them as they are unless you need something different.
- Under Available in branches, choose where the class runs, then click Save.
A class on its own puts nothing on the calendar. Next, add a recurring class, or schedule a one-off class session from the calendar.
Put a class on the calendar every week
- Open the class in Catalogues → Classes.
- On the Recurring classes card, click Add recurring class.
- Pick the Branch this timetable runs at.
- Under Schedule, choose how it repeats, the Start date and the Start time. Leave the End date empty if it runs with no end.
- Choose the Team members who run it.
- Optional: enter a Capacity override if this timetable has a different number of places from the class. Leave it blank to use the class's capacity.
- Under Class session generation, set how many weeks ahead to create class sessions. The default is 8 weeks, and you can choose from 1 to 52.
- Leave the status as Active and click Save.
Class sessions are generated from the timetable and appear on your calendar shortly after you save. All your timetables are listed together under Classes → Recurring classes.
Schedule a one-off class session
Use this for a single workshop that does not need a timetable.
- On the calendar, open the menu in the top right and choose Add class session.
- Pick a Class from your catalogue, or choose One-off and type the session name, duration and price for something that is not in your catalogue.
- Set the date, time, team members and capacity.
- Leave Repeat on Do not repeat to create one class session, then click Save.
If you pick a class and choose a repeat option instead, Bookit saves a recurring class and generates the class sessions from it.
Add attendees to a class session
- Go to Classes to see today's class sessions, or click the class session on the calendar.
- In Attendees, click Add or an Open spot row.
- Choose the customer, or create a new one.
- Click Save.
The Attendees header shows places taken against capacity, for example Attendees (9/12). To remove someone, click the delete icon on their row and save.
Take payment for a place
- Open the class session and find the attendee in Attendees.
- Click Take payment on their row. Checkout opens with the class, the class session and the customer already filled in.
- Complete the payment as usual.
After payment, the attendee's row shows Paid. Click the badge to open the payment.
For a walk-in who is not on the list, open checkout and use the Classes tab. Class tiles sit next to your services and products.
FAQs
Why can't I see Classes in Bookit?
Classes are in beta and have not been turned on for your business. Ask support to turn it on.
What happens to class sessions when I edit a class?
Future class sessions that nobody has joined pick up the new details. Class sessions that already have attendees keep the name and price they were booked under.
What happens when I change or delete a recurring class?
Future class sessions that nobody has joined are regenerated from the new settings, or removed if you delete the recurring class. Class sessions with attendees stay on the calendar.
How do I stop a class for a holiday week?
Set the recurring class to Paused to stop new class sessions being created, then delete the class sessions you don't want. Class sessions already on the calendar are not removed when you pause.
Can one class run at two branches?
Yes. Add one recurring class for each branch.
Can I mark who turned up?
Not for each attendee yet. The attendee list shows who booked and who has paid.
Someone paid for two places. How do I record it?
Add each person as an attendee and take payment against each row, so both places show as Paid.
What happens to a place when I void the payment?
The attendee's row goes back to unpaid. If you restore the payment, it shows Paid again.
