Shift-based slots

Make booking times follow your roster so customers can only book team members who are on a scheduled shift.

Overview

Use shift-based slots when you want booking times to follow your roster instead of your opening hours, so customers can't book a team member who isn't working. The roster is checked when a customer picks a specific team member, or chooses a service that only certain team members perform. You set it per branch as the slot mode; the other mode, Smart slot, offers times from your opening hours and service durations.

Switch a branch to shift-based slots

  1. Open the slot mode setting for the branch you want to change.
  2. Choose the shift-based slot mode.
  3. Save.

Existing bookings are not changed when you switch. Your booking website and the miniprogram both use the same availability, so the change applies to both.

Roster so the right times are bookable

A time is offered for a specific team member, or for a service only certain team members perform, only when all of these are true:

  • Someone is on a Scheduled shift at that branch.
  • That person can perform the service the customer chose.
  • The whole booking fits inside one of their shifts, from start to finish.
  • They are not already booked.

For example, Mei Ling is rostered 9am to 1pm and 1pm to 6pm, and a customer wants her for a 1-hour service:

  • The last time offered is 5pm, because a 6pm start would run past the end of her shift. Roster to cover the last booking you want to take, not the time you lock the door.
  • A 12:30pm start is not offered, because the booking would cross from one shift into the next, even though both shifts are hers.

Two kinds of shift look like cover on the schedule but make no times bookable:

  • Open shifts. A shift with no team member assigned counts for nothing.
  • Cancelled shifts. These stop counting immediately.

Deal with bookings nobody is assigned to

If a customer books Any team member for an ordinary service at a time when nobody is rostered, Bookit still accepts the booking but leaves it unassigned.

  1. Look for the Assign team member badge on the booking, or check the needs-attention list in your appointments.
  2. Open the booking.
  3. Assign a team member who can take it, or contact the customer to move it.

Add an appointment outside the roster

You can still add an appointment yourself for a time nobody is rostered.

  1. Add the appointment as you normally would.
  2. Pick the time and team member you want.
  3. When Bookit warns you that nobody is rostered, choose to continue.

Go back to Smart slot

  1. Open the slot mode setting for the branch.
  2. Choose Smart slot and save.

Availability goes back to your opening hours and service durations straight away.

FAQs

Why does a customer see no times for a team member?

That team member has no Scheduled shift at that branch which fits the whole service, or they are already booked. The customer is not told why, so check the roster for that day. Open and cancelled shifts don't count.

Why did I get a booking on a day nobody is working?

The customer chose Any team member for a service any team member can perform. Those times are not filtered by the roster, so the booking was created unassigned. Look for the Assign team member badge and assign someone.

Why can't customers book the last hour before a shift ends?

A booking must finish inside the shift. With a shift ending at 6pm, a 1-hour service can start no later than 5pm. Extend the shift if you want to take later bookings.

Why isn't my overnight shift giving any times?

An overnight shift such as 22:00 to 02:00 saved from the shift dialog is stored with its end before its start. It makes nobody bookable and counts as zero planned hours. See Shift schedule.

Does turning this on affect all my branches?

No. The slot mode is set per branch.

Will switching modes change bookings I already have?

No. Existing bookings stay as they are, whichever mode you choose.
