Owe balance

Let a customer pay part of a sale now, owe the rest, and record their repayments on a later visit.

Overview

Use owe balance when a customer cannot pay the full amount at checkout: they pay part now, and Bookit records the rest as money they owe you until they settle it. You set it up at checkout on the Review screen, using Pay part and then More options → Owe the rest. What the customer owes then appears as a negative Balance on their Customer details screen, where you also record their repayments.

Let a customer pay part now and owe the rest

In this example, Pamela buys a package for RM 1,288, pays RM 500 by bank transfer today and owes the remaining RM 788.

  1. On the Menu screen, open the Packages tab (or services or products) and add the items the customer is buying to the cart.
  2. Tap the customer icon and choose the customer, for example Pamela.
  3. Optional: tap an item in the cart to apply a discount or assign team member commission.
  4. Tap Continue to go to the Review screen.
  5. Under Payment method, choose how the customer is paying today, for example Bank transfer.
  6. Tap Pay part, enter the amount paid now (RM 500) and tap Save.
  7. Tap More options, then tap Owe the rest.
  8. Check the receipt: it shows the total (RM 1,288), the payment made (RM 500) and the Remaining balance (RM -788.00).

From the receipt you can choose a print size (such as A4 or 80mm), share it by WhatsApp, or add a customer note with treatment details and photos. All payment activity for the sale is shown in the side panel after checkout.

Record a repayment from the customer's profile

When Pamela comes back to pay the RM 788 she owes:

  1. Search for the customer and tap their name to open Customer details.
  2. Check the Balance field. A negative amount, such as RM -788.00, is what the customer owes.
  3. Tap the + button next to Balance to open Balance top up.
  4. Enter the amount the customer is paying today (RM 788 to settle in full) and tap Top up.
  5. On the Review screen, check the balance top-up item and the new balance shown at the bottom.
  6. Under Payment method, choose how the customer is paying, such as cash, bank transfer, card or e-wallet.
  7. Tap Pay full RM 788.00 to complete the payment.
  8. Go back to Customer details and confirm the Balance now shows RM 0.00.

Record a repayment at checkout

If you have already started a checkout for the customer, you can take the repayment from there.

  1. At checkout, tap the customer icon and choose the customer.
  2. Tap the highlighted balance banner at the top. It shows the customer's Current balance, for example RM -788.00.
  3. In Balance top up, enter the amount the customer is paying today and tap Top up.
  4. Tap Continue to go to the Review screen.
  5. Under Payment method, choose how the customer is paying.
  6. Tap Pay full with the amount shown to complete the payment. The receipt shows the updated balance.

How it's calculated

The amount owed is the sale total minus what the customer pays now. Bookit shows it as a negative balance on the customer's profile, and each repayment is added back until the balance reaches zero.

FAQs

Why does the balance show a negative number?

A negative Balance, such as RM -788.00, means the customer owes you that amount. Once they pay it off, it returns to RM 0.00.

Can the customer pay off what they owe in instalments?

Yes. When you record a repayment, enter a smaller amount than they owe. The Balance then shows what is still outstanding, and the balance history helps you track each payment over time.

Where can I see how much a customer owes?

Open the customer's Customer details and check the Balance field. When you select the customer at checkout, the balance banner at the top also shows their Current balance.

Does paying off the balance use up their package sessions?

No. Package redemptions, such as 0 / 12, are tracked separately and are not affected by balance payments.

Which payment methods can I use for a repayment?

You can choose cash, bank transfer, card, e-wallet, profile balance or other, the same as for a normal checkout.
