Online booking site
Choose the steps, details, messages and terms customers see when they book appointments on your online booking site.
Overview
Your online booking site is where customers book appointments with you. Use these settings to choose the steps customers go through, the details they must give, the messages they see, and the terms they agree to before they confirm. Steps, fields and messages are under settings → Website, on the booking experience page. Your terms are under settings → Website → Booking policy.
Set up how customers book online
- Go to settings → Website and open the booking experience page.
- In Online booking settings, tick Enable multiple services if customers can book several services in one booking.
- Set a Cancel duration. This is how far in advance customers can cancel.
- Choose a Default country code for customers' phone numbers.
- In Booking steps, tick the steps customers should see: choosing a branch, choosing a service and choosing a team member. Any step you untick is skipped.
- In Customer information fields, drag the fields into the order you want and set each one to Hide, Show or Required. Add instruction text to any field that needs explaining.
- In Booking information fields, set your booking custom fields to Hide, Show or Required in the same way.
- Add a Promotional message for your booking site homepage and an Appreciation message that customers see after they book.
- Click Save.
Changes appear on your booking site as soon as you save. Customers cannot submit a booking until they have filled in every field set to Required.
To take payment when customers book, see Online payment options.
Make customers choose a specific team member
When a customer picks Any team member, the appointment has no team member yet and you have to assign one yourself later. To avoid this, hide that option so customers must choose someone, for example Mei Ling for a hair colour.
- Go to settings → Website and open the booking experience page.
- In Booking steps, make sure the step for choosing a team member is ticked.
- Tick Hide "Any team member" option, which appears just below that step.
- Click Save.
Customers now have to choose a specific team member before they can pick a date and time.
If a service uses Depends on team members, only the qualified team members appear in the list, and Any team member is not offered for that service anyway.
Ask customers to agree to your booking policy
Use this for your cancellation deadlines, no-show fees, rescheduling rules or any other terms. Customers see the policy when they confirm their booking online and must agree to it before they can book.
- Go to settings → Website → Booking policy.
- Write your terms in the text editor. Use bold, italics or bullet points to make them easy to read.
- Click Save. To discard your edits instead, click Cancel.
Until you save or cancel, a notice at the bottom of the screen reminds you that you have unsaved changes. The policy is optional. If you leave it blank, customers do not see any extra terms.
Stop taking bookings online
- Go to settings → Website and open the booking experience page.
- In Online booking settings, tick Disable online booking.
- To keep showing your services, tick Display catalogue.
- Click Save.
Customers can still view their existing bookings, but they cannot make new ones. While online booking is disabled, most other settings on the page are unavailable.
FAQs
Why can't I see any booking information fields?
You need to create booking custom fields first. If none exist, the page shows a link to set them up.
Why can't I find the option to hide "Any team member"?
Hide "Any team member" option only appears when the team member step is ticked in Booking steps.
Can I change the order of the booking steps?
No. The steps always run in the same order, but you can choose which ones customers see.
What happens if I skip the team member step?
Customers do not choose anyone, and Bookit assigns a team member based on availability.
Does hiding "Any team member" affect appointments I create myself?
No. It only applies to your online booking site. When you create appointments yourself, you can still leave the team member empty or choose Any team member.
What if only one team member can do the service?
Any team member is hidden automatically, because the customer can only choose that one person.
What about services that need more than one team member?
When Any team member is hidden, customers must choose the exact number of team members the service needs.
What if I don't set up any customer information fields?
Phone, name and email still appear with their default settings.
Do my changes go live straight away?
Yes. Your booking site updates as soon as you click Save.
