Appointments report

See how many appointments were confirmed, cancelled or missed, which services and times are busiest, and which team members and customers book most.

Overview

The appointments report shows how your appointments went over a date range: how many were confirmed, cancelled, missed or still waiting for payment, which services and times of day are busiest, and which team members and customers have the most appointments. Use it to spot no-show patterns, plan your team around peak hours or see which services are in demand. Go to Reports → Appointments. On the reports page, it is the Appointment insights section of the Appointment reports card, and the page itself is titled Appointment analytics.

The report covers the branch you are currently in. Blockers are not counted.

Check your appointments for a period

  1. Go to Reports → Appointments.
  2. Pick your dates in the date picker at the top of the page. The report opens on the past month.
  3. Read the Appointments highlights widget for the headline figures: No. of confirmed appointments, No. of cancellations, Popular service and Top customer.
  4. Scroll down for the other widgets, such as Appointments summary, Appointments by channel and Popular session times.
  5. To load the latest figures, click the reload icon next to Add widget.

See your no-shows and cancellations

The Appointments summary widget lists four counts for the selected dates:

No. of no shows Appointments marked as No show, whatever their status
No. of pending bookings Appointments still waiting for an online or custom payment

To record a no-show so it appears here, mark the appointment's attendance as no show. See Reschedule and cancel.

Find your busiest services, times and team members

Each widget answers one question:

  • Appointment services — your 10 most booked services, by number of appointments.
  • Appointments over time — the number of appointments on each day of the period, as a line chart.
  • Popular session times — appointments by the hour they start, so you can see your peak hours.
  • Top customers by appointments — the 10 customers with the most appointments. This chart includes cancelled appointments.
  • Appointments by team member — for each team member, how many appointments they Served and how many of those the customer Requested them for, with a Total appointments row.
  • Appointments by channel — Customer appointments booked online by customers against Admin appointments made by your team.

Add, move or remove widgets

  1. Click Add widget. A panel opens listing the widgets that are not on your page.
  2. Choose a widget to add it to the bottom of the page.
  3. Drag widgets to rearrange them.
  4. To go back to the default layout, open the menu next to Add widget and choose Reset layout.

When every widget is already on the page, the panel shows All widgets added. On a phone, Add widget is inside the menu at the top right.

  1. Choose your dates.
  2. Open the menu next to Add widget.
  3. Choose Print report. Bookit creates an A4 PDF of the report with your business and branch name.

How it's calculated

Each appointment in the date range is counted once in the summary, by its status. The no-show count is separate: it looks at attendance, so a no-show is also counted under its status.

Example: in March your branch has 10 appointments. 7 are confirmed, 2 are cancelled and 1 is waiting for an online payment. One of the 7 confirmed appointments is marked as no show.

Popular service and Top customer are the service and customer with the most appointments in the period, counting every status.

FAQs

Why does the report show different numbers from another branch?

The report only covers the branch you are in. Switch branch to see another branch's appointments.

What is the difference between Requested and Served?

Served counts appointments the team member was assigned to. Requested counts the appointments among those where the customer asked for that team member specifically.

Why does a team member only see their own appointments in the report?

The report follows the same access as the calendar. Team members who can only see their own appointments see only those in the report. See Roles and permissions.

Why is a widget showing No data?

There are no appointments in the selected dates for that widget. Choose a wider date range.

Are blockers counted?

No. Blockers, such as a lunch break, are left out of every widget.
