Team members

Add team members, decide who can log in to Bookit, and control what each person can see and change.

Overview

Use Team members to add the people who work for you, decide whether they can log in to Bookit, and control what each person can see and change. You can add someone with their own login, or without one so they still appear for appointments and commission reports. Everything is under Team in the main menu.

Add a team member

  1. Go to Team and select Invite new team member.
  2. Choose With account access if they need their own login, or Without account access if they only need to appear in appointments and commission reports.
  3. Enter their First name and Last name, for example Aisyah Rahman.
  4. Enter their Email and, if you like, their Phone number. Email is optional for team members without account access.
  5. Under Organisation access, choose an Organisation access level. For most team members, choose the regular team member level rather than admin.
  6. In the Branch access table, add a row for each branch they work at, such as Klang Branch, and choose their Branch access level.
  7. Turn on Is serving team member for each branch where they provide services.
  8. Select Send.

If you chose With account access, Aisyah receives an invitation email. She can join using the link in the email or the invitation code shown on her profile. The email can take up to 5 minutes to arrive, and the invitation code expires after 3 days.

To clear the form and start again, select Cancel.

Next, set what Aisyah can see and do, as described below.

Choose what a team member can see and do

  1. Go to Team and select the team member's name, for example Aisyah Rahman.
  2. Scroll down to the permissions.
  3. Set each area to No access, View, Edit or full access including delete.
  4. Select Save.

View lets them see information. Edit lets them create and change it. The delete level gives full access, including removing records.

For a typical team member who serves customers, these settings work well:

  • Access to Bookit. Checkout (POS): on, so they can take payments.
  • Team member's own bookings: View or Edit, so they see their own appointments.
  • All bookings: No access to keep them to their own calendar, or View or Edit if they need to see everyone's.
  • Catalogues: View. Give Edit only to trusted team members who manage your services, products and packages.
  • Customers: Edit to update customer profiles and photos, View for read-only, or No access.
  • Team member's own payments: Edit, so they can correct their own transactions.
  • All payments: View, Edit or No access.
  • Team member's own reporting: View, so they can check their own commission reports.
  • All reporting: No access, to protect business-wide reports.
  • Team management: No access, so they cannot change other people's permissions.

Under Commission settings, leave the option to view commission values unticked so they cannot see what others earn.

Only an organisation admin can turn on the Organisation admin toggle for someone else.

Give or remove login access

  1. Go to Team and select the team member's name.
  2. Select Grant account to give them a login, or Revoke account to remove it.

Granting access sends them an invitation email. Grant account is greyed out if they already have account access or you have reached your plan's user limit.

Resend an invitation

  1. Go to Team and select the name of the team member who has not joined yet.
  2. Check Invitation details to see when they were invited and their invitation code.
  3. Select Resend invitation.

Update a team member's details or photo

  1. Go to Team and select the team member's name.
  2. Open the three-dot menu and select Edit team member profile to change their name, email, phone number or colour.
  3. To change their photo, select the profile image, choose a new photo, then select Save.

You can also add or remove branches in the Branch access section of their profile.

Find someone in your team list

  1. Go to Team.
  2. Select a branch tab to see who works there, or select All to see everyone.
  3. Search by name or email.
  4. Select Show filters to filter by status, access level and more.
  5. Select the refresh button to load any recent changes.

Download or remove team members

  1. Go to Team.
  2. Tick the checkbox next to each team member you want.
  3. Open the three-dot menu and select Download selected, Download all or Delete.

Only organisation admins can delete team members.

FAQs

Why can't I see the All tab?

Only organisation admins see All. Everyone else sees only the branches they have access to.

Why is Delete greyed out?

You need to be an organisation admin. Bookit also will not let you delete the last admin, as there must always be at least one.

Why can't I add a team member with account access?

You have reached your plan's user limit. You can still add them with Without account access, or revoke access from someone who no longer needs it.

What's the difference between admin and regular team member access?

Admins can manage all organisation settings and team members. Regular team members have limited access based on their branches and permissions.

Can I change someone's access level?

Only organisation admins can promote or demote team members, and you cannot demote the last admin.

What does With account access mean?

The team member can log in to Bookit. Without account access, they appear in your team list, appointments and commission reports but cannot log in.

Why doesn't a team member appear when I assign an appointment?

Check that Is serving team member is turned on for that branch in their Branch access.

How do I change the email of someone with account access?

They change it themselves in their account settings, or you revoke and grant their account again.

The invitation email hasn't arrived. What should I do?

Wait up to 5 minutes and ask them to check their spam folder. If the code has expired after 3 days, or the email address was wrong, correct it and select Resend invitation. If you see an error when sending, check your connection and try again.

Can one team member work at more than one branch?

Yes. Add a row for each branch in Branch access, each with its own Branch access level.
