Time log

Check how each clock-in was recorded at your branch, close entries left open and correct wrong check-in or check-out times.

Overview

The time log lists every clock-in and clock-out at your branch. Use it to see how each one was recorded, close an entry someone forgot to clock out of, or correct a wrong time before you count hours. Go to Shifts → Time log. It shows the branch you are in only.

Find a clock-in

  1. Go to Shifts → Time log.
  2. Choose Today, Last 7 days or All to set the range.
  3. Select Show filters to narrow the list by team member, status or method.
  4. Select the entry, then Details.

Close an entry someone left open

When a team member forgets to clock out, their entry stays Ongoing. Nobody is reminded to clock out, so check for open entries before you count hours.

  1. Find the Ongoing entry and open its Details.
  2. Set the check-out time to when they actually left.
  3. Save the entry.

For example, Aina clocked in on Friday at 2:00pm and forgot to clock out. On Monday afternoon her entry is still Ongoing and reads about 72 hours. Set her check-out to Friday 7:00pm and save, and the entry becomes Closed with a duration of 5 hours.

Correct a clock-in time

  1. Find the entry and open its Details.
  2. Change the check-in or check-out time.
  3. Save the entry.

Correcting an entry changes the hours on the Shift report for that period. To review total hours, see Shift report.

Remove an entry

Open the entry and select Delete entry. This cannot be undone and leaves no record that the entry existed, so correct an entry instead whenever you can.

Check how a clock-in was recorded

Column What it tells you
Check in / Check out The times recorded. A missing check-out means the entry is still open
Duration How long the entry covers. An open entry is measured up to right now
Method QR, GPS or Anywhere: how the team member proved they were there
Status Ongoing while someone is still clocked in, Closed once they clock out
Late The clock-in was after the shift start

Most entries are linked to a scheduled shift. An entry marked as not linked to a shift is real recorded time with no rostered shift behind it. Its hours still count as worked hours; there is just no plan to compare them against.

Download the time log

  1. Select the entries you want and use Download selected, or use Download all for everything in the current range.

FAQs

Why does an entry keep getting longer?

It is still open. An open entry is measured up to right now, so Aina's Friday 2:00pm clock-in reads about 72 hours on Monday and keeps growing. Set the check-out time to close it.

Why can't a team member clock in?

They still have an open entry. Nobody can clock in anywhere, including at another branch, until their open entry is closed.

Why does an entry say it is not linked to a shift?

The team member clocked in when nothing was rostered for them. The hours still count. To block this, turn off Allow clock in without a shift under Shift settings.

Someone clocked in on the wrong day. Can I move it?

Edit the check-in and check-out times on the entry. You cannot move an entry to a different team member. Delete it and have the right person clock in, or add the correction to their own entry.

Can a team member fix their own clock-in?

No. Correcting entries needs full shift access.

Is there a record of who edited an entry?

Yes. The entry shows a history of who changed it and when. It does not keep the old times: once you save, the previous check-in and check-out are gone. A deleted entry leaves no record at all.

Why are GPS clock-ins accepted from anywhere?

The distance check needs a saved branch address. If your branch uses GPS mode with no address saved, clock-ins are accepted without a distance check. Save the address in your branch settings, then check Shift settings, which warns you while the address is missing.

Why can't I see clock-ins from my other branch?

The time log shows one branch at a time. Switch to the other branch to see its entries.
