Shift settings

Choose how your team clock in and out at a branch, set the allowed distance, and decide when a clock-in counts as late.

Overview

Use shift settings to record the hours your team actually work. You choose how they prove they are at the branch when they clock in, and when a clock-in counts as late. Go to settings, choose your branch, then Shift settings. These settings apply to one branch at a time, so repeat them for each branch.

Choose how your team clock in

  1. Go to settings, choose your branch, then Shift settings.
  2. Under Staff attendance, pick one option:
    • Disabled: nobody can clock in or out. Every branch starts with this option.
    • QR kiosk: your team scan a code on a shared screen at your counter. The code refreshes constantly and each code works only once.
    • GPS geofence: your team clock in on their own phone and must be near the branch.
    • Clock in anywhere: there is no location check. This suits mobile or remote work.
  3. Select Save.

If you chose GPS geofence, set the allowed distance next. If you chose QR kiosk, set up the kiosk screen.

Set the allowed distance for GPS geofence

  1. Save and confirm your branch address. Bookit measures the distance from this address.
  2. In Shift settings, set Allowed distance (metres). This is how far from the branch someone can be when they clock in.
  3. Select Save.

Set up a shared kiosk screen

You need to be an organisation admin for this. A branch manager cannot turn on a kiosk account.

  1. Go to Team and open the team member whose account will stay signed in on the shared device.
  2. Turn on Kiosk account.
  3. On the shared device, sign in as that team member.
  4. Go to Shifts, then Overview, and select Attendance kiosk.
  5. Leave the screen open at your counter. The QR code refreshes on its own.

Decide when a clock-in counts as late

  1. In Shift settings, under Reporting, set Lateness grace. This is how long after a shift starts a clock-in still counts as on time.
  2. Select Save.

Lateness grace is set to No grace until you change it, so a clock-in one minute after the shift starts is recorded as late.

Decide whether your team can clock in without a shift

Allow clock in without a shift is on to begin with. Your team can clock in even when no shift is rostered for them. Bookit records those hours but does not link them to a planned shift.

To block clock-ins when no shift is scheduled, turn off Allow clock in without a shift and select Save.

FAQs

Which clock-in option should I choose?

If everyone works at the counter, QR kiosk is the strictest. The code changes constantly, so clocking in from home does not work. If your team arrive at different times or work outdoors, use GPS geofence. Use Clock in anywhere when you only want the hours and trust the timing.

Why can't a team member clock in?

First check Staff attendance for their branch. If it is set to Disabled, nobody can clock in. With GPS geofence, they need location access turned on for Bookit and must be within your allowed distance. With QR kiosk, they need camera access and must scan the code currently on screen. If you turned off Allow clock in without a shift, they also need a shift scheduled for that time.

Do I need to set this up for every branch?

Yes. Shift settings apply per branch. Setting them at one branch does not change the others.

Does every team member need their own Bookit account?

Yes. Every clock-in is recorded against the person's own Bookit account. There is no shared PIN, and you cannot record hours for someone who has no account.

Can the kiosk account also be a real team member?

Yes. Kiosk account only unlocks the QR display on the device signed in to it. The person keeps their normal access everywhere else. It is cleaner to use an account nobody works from, because anyone at that device is signed in as them.

Can someone clock in for a colleague who is not there?

With QR kiosk it is hard, because the code changes constantly and each code works once. Someone at the branch could still pass on a live code within its short window, and the entry would be recorded under the colleague's name. With Clock in anywhere, nothing stops it.

Can I clock someone in myself?

Yes, if you have full shift access. Open their shift and select Clock in for {{name}}, which shows the team member's name. The entry is still recorded against them.

How do I handle unpaid breaks?

Ask your team to clock out when the break starts and clock back in afterwards. Bookit records the two stretches separately and counts only the time they were clocked in. There is no separate break button, and nothing enforces this. If they stay clocked in through lunch, lunch is counted.

Does Bookit remind my team about shifts or clocking out?

No. Bookit does not remind anyone about upcoming shifts or chase anyone who forgets to clock out. Keep an eye on Open clock-ins in Shifts → Overview.
