Recurring expense templates

Set up expenses that repeat every month, such as rent, salaries or utilities, so you don't have to enter them again each time.

Overview

Use a recurring expense template when the same cost comes up every month, such as office rent, team member salaries, utilities or software subscriptions, so you don't have to type the same details again each time. You set up the expense once, and future occurrences are created for you automatically. You'll find your templates under Expenses → Recurring expenses.

Set up a monthly expense

  1. Go to Expenses → Recurring expenses.
  2. Tap Create expense in the top right.
  3. Enter a Description, for example "Office rent".
  4. Choose a Category from the dropdown, or type a new category name to create one.
  5. Enter the Amount that repeats each month.
  6. Turn on Recurring.
  7. Add any Notes you want to keep with the expense.
  8. Save the template.

To record a cost that only happens once, add it as a one-off expense instead. See Expenses list.

Change a recurring expense

  1. Go to Expenses → Recurring expenses.
  2. Tap the template you want to change, for example "Office rent", to open its details.
  3. Update the details and save your changes.

Stop a recurring expense

To stop an expense from repeating, delete its template.

  1. Go to Expenses → Recurring expenses.
  2. Find the template, for example "Office rent".
  3. Delete it.
  4. Confirm when Bookit asks if you're sure.

FAQs

Do I need to set up categories first?

No. When you create a template, you can type a new name in the Category field to create a category on the spot. To organise categories for budgeting and tax, see Expense categories.

What happens to past expenses if I delete a template?

Nothing. Deleting a template only stops future occurrences from being created. Past expense records remain untouched.

How do I find a template quickly?

Use the search box at the top of Recurring expenses. You can search by description, such as "Office rent", or by category name.

Can I see how much I spend on recurring expenses?

Each template in the list shows its monthly amount. For totals by period and category, see Expense reports.

Why isn't my expense repeating each month?

Check that Recurring is turned on for that expense. Open it from Recurring expenses, turn on Recurring and save.
