Void and restore a payment

Cancel a payment taken by mistake, see what Bookit reverses on the customer's profile, and restore a payment you voided.

Overview

Void a payment when a sale was rung up by mistake or needs to be done again. The payment stays in your list marked Cancelled, it drops out of your sales and payment reports, and Bookit reverses what the sale did to the customer's profile and your stock. If you voided the wrong payment, Restore puts it back.

Void a payment you just took

Use this on the completed screen straight after checkout, when you notice a mistake and want to ring the sale up again.

  1. On the completed screen, tap Void & reopen.
  2. Read the confirmation, then tap Void & reopen again.
  3. The payment is voided and its items open in a new cart.
  4. Fix what was wrong, such as the item, price or payment method, and take payment again.

Void an older payment

  1. Go to Transactions → Payments and open the payment.
  2. Tap the ⋯ button at the top of Payment details and choose Void.
  3. Read the warning. It lists what will be reversed: reward points, balance, credits, packages and vouchers.
  4. Tap Void.

You see "Payment voided", and a banner at the top of Payment details says the payment has been voided.

To void several payments at once, tick them in Transactions → Payments, open the ⋯ menu above the table and choose Void.

Restore a payment you voided

  1. Go to Transactions → Payments and open the voided payment.
  2. Tap Restore in the banner at the top. You can also tap ⋯ → Restore.
  3. Read the warning and tap Restore.

The payment goes back to Paid, and the reward points, balance, credits, packages, vouchers and stock that the void reversed are applied again. The sale returns to your reports on its original date, not the day you restored it.

How it's calculated

A void undoes each change the sale made, and a restore applies the same changes again. In this example, Jason's RM 200.00 facial was paid with RM 50.00 of his credit and RM 150.00 by card, and he redeemed 1 session from his package.

The RM 150.00 card payment is only cancelled in Bookit. If the customer should get that money back, refund it through your card terminal or bank.

FAQs

Why is Void greyed out?

You can only void a payment that is Paid, and you need permission to edit payments. Ask the business owner or an admin to check your role.

Where do redeemed package sessions go after a void?

They are returned to the customer's redeemable items under Misc, not to the original package. The customer can still redeem them at checkout as normal.

Why does a voided payment still show commission and the customer's old balance?

Payment details shows what was true when the sale was made. The banner on the payment reminds you of this. Check the customer's profile for where they stand now.

What's the difference between void and delete?

Void keeps the payment, marked Cancelled, so you can restore it. Delete is only available on a payment that is already voided, and removes it permanently. A deleted payment cannot be restored.

Does voiding refund the customer's money?

No. Bookit reverses the sale in your records and on the customer's profile, but it does not send money back. Refund cash, card or bank transfer payments yourself.

Can I restore several payments at once?

No. Restore one payment at a time from its Payment details.
