Appointments calendar

See your day, week or month of appointments at a glance, book into free slots, block time and filter by team member, service or status.

Overview

The calendar shows your appointments laid out by day, week or month, so you can see who is booked when, spot free slots and book new appointments straight into them. It is the main view of Appointments and opens when you click Appointments in the main navigation. From here you can also block out time, reschedule by dragging, and filter down to the team members, services or statuses you care about.

Move between days, weeks and months

  1. Go to Appointments.
  2. Use the tabs at the top to choose day, week or month view.
  3. Click the back or forward arrows to move to the previous or next period.
  4. Click Today to jump back to the current date.

In day and week views, each team member has their own column, and a red line marks the current time.

Book an appointment into a free slot

  1. Find the day and team member column you want.
  2. Click an empty time slot, for example 2:00 pm in Mei Ling's column. The booking form opens.
  3. Fill in the customer and services, then save.

You can also open the menu in the top right of the calendar and choose to create a new appointment. To learn what each field in the booking form does, see Create an appointment.

Block out time for breaks or personal time

  1. Open the menu in the top right of the calendar.
  2. Click New blocker.
  3. Choose the time and team member, then save.

Blocked time shows on the calendar as unavailable. Blockers are not customer bookings.

Reschedule an appointment

  1. Drag the appointment to a new time slot, or to another team member's column, and drop it.

For example, drag Aisyah Rahman's Hair colour appointment from 2:00 pm to 4:00 pm, or from Mei Ling's column to another team member's.

Open an appointment and take action

  1. Click the appointment on the calendar to see the customer's details, the services booked and the action buttons.
  2. Open the appointment's dropdown menu.
  3. Choose Edit, Checkout, Contact, Share, Copy or Delete.

Show only certain team members, services or statuses

  1. Click Show filters.
  2. Pick the team members, services or statuses you want to see.
  3. Check the calendar now shows only matching appointments.

The Show filters button shows a blue indicator while any filter is on, so you can tell at a glance that some appointments are hidden.

Read the colours and badges

  • Colour — each service has its own colour, and an appointment takes the colour of its first service. If Aisyah Rahman books Hair colour followed by a blow-dry, her appointment shows in the Hair colour service's colour.
  • Status badge — shows whether the appointment is confirmed, pending or completed.
  • Past badge — marks appointments whose time has already gone.
  • Red line — the current time, in day and week views.

To change a service's colour, edit the service in your service settings. To change how the calendar itself is displayed, click the settings icon on the calendar.

FAQs

Why are some appointments missing from my calendar?

Check whether Show filters has the blue indicator. If it does, a filter is hiding some appointments; clear it to see everything. If no filter is on, your role may have limited permissions: team members with limited access see only their own appointments plus any blockers affecting their schedule, while managers see all appointments for their branch.

Can I see several team members' schedules at once?

Yes. In day and week views each team member gets their own column. Use Show filters to narrow it to specific team members.

Why is an appointment showing in the wrong colour?

An appointment always uses the colour of its first service. Change the order of services in the appointment, or change that service's colour in your service settings.

How do I set up a repeating appointment?

Start a new appointment from the calendar and use the repeat options in the booking form. See Create an appointment.

What is the difference between an appointment and a blocker?

An appointment is a booking with a customer. A blocker is time you mark as unavailable, such as a lunch break, using New blocker.

Can I see my appointments as a list instead?

Yes. Switch the Appointments page to the list view to search, sort and export. See Appointments list.
